Your guide to setting up Secret Santa with SharePoint and Power Automate

Secret Santa exchanges are a fun way to spread holiday cheer, but managing them can be a logistical nightmare, especially in the workplace. Fortunately, with SharePoint and Power Automate, you can streamline the entire process. From collecting wish lists to tracking gift status, this guide will help you set up a Secret Santa management system that is efficient, organised, and filled with festive spirit.

Here’s how you can use SharePoint and Power Automate to help you manage Secret Santa!

1. Set up 2 SharePoint Lists:

  • Participant List: Create a Custom List in SharePoint with the following columns:
    • Participant Name: Names of those joining the Secret Santa.
    • Wishlist/Preferences: Items the participant would like to receive (or things to avoid).
  • Hidden Assignments List: Create a second, private list visible only to organisers with the following columns:
    • Assigned Giftee: A column for Power Automate to write back to for who each participant will gift.
    • Gift Status: Options like “Not Started,” “Purchased,” or “Delivered” to track progress.

2. Randomised Name Assignment:

  • Use Power Automate:
    • Export the participant list from SharePoint
    • Randomly assign giftees using randomise function
    • Update the Assigned Giftee column in the Hidden Assignments list with the matches.
    • Send an email to the Giftee notifying them of their secret Santa and their wish list item

3. Use Forms for Seamless Participation

  • Integrate Microsoft Forms to collect:
    • Participant sign-ups.
    • Preferences or wish lists.
  • Sync responses with the SharePoint list using Power Automate for real-time updates.
  1. Notifications
  • Automate reminders using Power Automate:
    • Send emails or Teams notifications about upcoming deadlines for purchasing and delivering gifts.
    • Allow for users to update the status of their gift purchase via email

Bonus: Add Fun Features

  • Holiday Themes: Customise the SharePoint site with festive colours, banners, or animations.
  • Guess the Gifter: Add a comments section for participants to post fun guesses about their Santa after the exchange.
