Collaboration is king: The magic that happens when clients connect

We’ve always believed that when people collaborate with openness, shared purpose and a willingness to challenge the status quo, remarkable things happen. It’s the foundation of our business. 

We’ve recently experienced this with one of our government clients as we took their operations from spreadsheet chaos to insight and efficiency. What started as an MVP (minimum viable product) turned into a mission-critical platform used business-wide. And now it’s extending into another government department following a conversation between colleagues!

The Challenge: Excel overload, lost time, and low impact

Historically, reporting had been slow, inconsistent, and difficult to scale. Monthly and quarterly performance updates were spread across disconnected Excel workbooks and shared drives. Version control was a nightmare. Visibility at the executive level was limited. And when reports were finally pulled together, they often didn’t reflect real-time data or consistent formatting.

The Solution: A smarter, scalable platform that works the way they do

We built an accelerator for their existing system to expedite outcomes while driving efficiency through ready-to-roll capability, including:

  • SharePoint-powered interface for seamless, secure data entry
  • Power BI dashboards and printable reports to support strategy, operations and compliance
  • KPI modules aligned to Queensland Health’s strategic goals and planning cycles
  • Multi-level reporting—monthly, quarterly, annual and biennial
  • Microsoft Entra-based access control, ensuring the right people see the right data

The learning journey

We started with a focused pilot: one division, key reporting requirements, and a 200-user cap. But once the solution went live, demand grew quickly.

Through frequent check-ins, embedded collaboration, and agile sprints, we were able to scale the solution rapidly to achieve a position where more than 450 users (and counting), each with different reporting needs, access levels, and workflows, had their needs met.

Efficiency gains? Less time in the kitchen and more reports!

“We used to make a cup of tea while the old system loaded reports. Now we don’t even have time to walk away – the report is already there.”

That’s more than just a nice quote. It reflects a 70% reduction in report generation time and a major shift in how the team now engages with performance data. What once took several minutes now takes seconds. And the benefits compound across teams and departments.

What were the drivers of success?

  1. Shared ownership – engaging the right people early to ensure everyone stays aligned, informed and invested.
  2. Agile delivery – we went straight to live prototyping in Power BI, enabling stakeholders to visualise how it would actually work in a live system, which drove immediate feedback and faster outcomes
  3. Structure with flexibility – using our Mojility framework created space for iteration without losing rigour. Every sprint was supported by artefacts such as decision logs, UAT packs, rollout plans, and risk registers to minimise friction during change.
  4. Scalable, accessible design – we used the client’s digital design framework to meet accessibility and usability standards, which worked for everyone.

Strategic outcomes that matter

The upgraded solution is a critical tool for strategic and operational visibility with leadership trusting its data and resulting insights to track progress, identify performance gaps, and ensure accountability across the organisation.

In addition, successes spanned across departments as efficiency gains and improved accuracy and accessibility of the system were recognised by another team who now share in the benefits cross-functionally and departmentally.

A great reminder that collaboration wins over silos!
